Property Box: Media Tab

This tab is used for Individual, Family, Source and Place records. It shows all pictures and other media items (sounds, videos, etc) associated with the current record. Or rather, it shows such items if they are linked to the current record as a whole. It does not show pictures and other media items which are associated with events and attributes belonging to an Individual or Family  record, for example. To view these, you need to switch to the Facts tab (there is a toolbar button on that tab for viewing media for each event or attribute).

Pictures and other media items are stored in Family Historian as Media records. So the list of media items that you can see in the top part of the Media tab is a list of linked Media records. The list shows the format of each item, its date (if supplied) and, if the Property Box is showing details for an Individual record, the Individual's age at that date. This is most interesting when the media item is a picture. You can sort the list by clicking on the column headers.

The list also shows the preference order for the linked media objects. Preference values are used to determine which pictures appear in diagrams. Typically, the picture with highest preference (preference value = 1) is used in diagrams and reports and other contexts. There are toolbar buttons and to raise or lower the preference values.

The final column is the 'Flags' column. This can display the following icons:

Excluded from diagrams and the Focus Window.
Excluded from reports, books, web-pages and pages for family tree CDs/DVDs.
Use the associated note (if any) as the caption for this picture.

Beneath the list of media items is a toolbar. The toolbar buttons have the following functions:

Item Description
Add a picture or other media item - or link to an existing Media record. There is no limit to the number of pictures or other media items that a person can have.

If you have copied an image to the clipboard, you can also add it using the Paste Copied Image command.

Media items that are added to the project in this way, are automatically linked to the current record.

Opens the Edit Media Item dialog. Using this dialog you can edit details relating to the picture or other type of media item. In the case of pictures, you can also link a person to their face in the picture. See How to Link Individuals to Their Faces in Pictures.

Delete or unlink a Media record. You will be asked which you wish to do.
Give this media item a higher preference for the current record. See the discussion of preferences above.
Give this media item a lower preference for the current record. See the discussion of preferences above.

Switch between showing thumbnails or one picture at a time.  Image alternates appropriately.

Switch between showing whole pictures or close-ups of the current person's face - if there is a link to a face (or other area) within the picture.
Opens the given media item in a 3rd party application - the one specified on your computer as the default application for viewing or editing files of this type. For a picture, this will usually mean opening a picture editor to view it. For a sound file, this is likely to mean opening an application to play it. For a video, this will usually mean opening a video-player application to view it. For a document, it will usually mean opening it for viewing and/or editing in a word-processor. If no application opens for a given media type, when you click on this command, you may need to configure your PC to specify a default application for the file type in question.

Displays a dropdown menu with the following options:

  • display pictures (or other media) of the current Individual (or other record type) in the Media Window
  • display pictures (or other media) linked to the current Individual (or other record type) in the Media Window

If you choose the latter option you will be prompted to choose the type of pictures (or other media) to include.  Options, for an Individual record, include pictures (and other media) linked to

  • The record itself
  • Associated Events/Facts
  • Associated Places
  • Associated Sources & Source Citations

With Individual records you can additionally choose to apply all of the above options not just to the Individual record itself, but also to all spouse Family records associated with the Individual record.

Display the Media record's details in the Property Box. You can subsequently click on the Go Back button on the Property Box main toolbar, to go back to the previous record.


Click-and-drag on a horizontal gripper bar below the toolbar, to resize the list and increase or decrease the space available for pictures.
