Report Options Dialog: Privacy Tab

Although listed here as a tab used in the Report Options Dialog, this tab can also be used in the Book Settings Dialog.  This Help page covers both contexts of use.

With any report that will be, or may be, distributed publicly, you should think carefully about the privacy implications - especially as regards individuals who are still living. This is particularly important if the information may find its way onto the Internet. It is usually a good policy to exclude all information, except possibly the most basic details, about all living individuals. If in doubt, you should seek permission from living individuals before including information about them, or their near relatives.

Fields

Omit all references to Individuals flagged ‘Private’ (doesn't apply to Individuals that the report is about)

All mention of individuals with the ‘Private’ record flag will be excluded altogether - except that this option does not apply to the Individuals that the report is about. For example, if person X has the private flag set, this option will ensure that X will not be mentioned in a report about someone else. But it will not prevent you selecting X and showing a report about them.

The record or records that a report is 'about' are the records that you select when you open the report. This is the same list that you see when you click on the Records button in the panel to the right of the Report Window.

Show basic details only for Individuals where this flag is set

Individuals with the specified record flag are not excluded, but all details about them apart from their name, and their relationship to others, are excluded. No pictures will be displayed for them in contexts which would be identifying (such as in a section about them). If you want to ensure that no pictures of them are displayed at all, in any context, you should also tick the "Hide all pictures..." option (see next).

This option applies both to the person that the report is about, and to any other mentioned Individuals.

Hide all pictures linked to private or 'basic-details-only' Individuals

Has the effect that any pictures which have any links to flagged individuals (that is, flagged according to either or both of the two prior options), will not be displayed.

This option has no effect unless at least one of the previous 2 options is ticked.

Hide all private facts (facts where the 'Private' flag is set) Has the effect that any facts flagged as 'Private' will not be displayed.  To flag a fact as 'Private', locate the fact in the Facts tab of the Property Box, in the record of the person it relates to, click on the cog button on the menu below the list (or right-click on the fact), and choose Fact Flags, and then Private.


Another privacy feature, not configured here, is the ability to include or exclude private sections within a note. If you put doubled square brackets around a section of a note, the section within the doubled square brackets is marked as a private section (e.g. “Paul died in 1983. [[He committed suicide.]]”). In any report which includes notes, you can specify (usually in the first tab of the Report Options dialog) whether or not you wish private sections to be included; and, if they are to be included, whether you want the doubled square brackets to be removed, or not.
