How to Add a Picture for an Individual

Before you can add a picture, you must have the picture in the form of a file on your hard computer. If you have a digital camera, this should come with instructions on how to get your pictures onto your computer. If you have a printed picture you will need to use a scanner to scan it in. You can use any picture format you like if you want the image to be simply stored; but if you want Family Historian to be able to use the picture in reports, diagrams and websites, you must use the following formats:

Adding a picture into Family Historian is a 2-stage process. The reason for this is that pictures are, or can be, shared between multiple records. The most common example of this is that if you have a picture with several people in it, the same picture can be linked to all the people in the picture. In order for this to be possible, Family Historian has to create a media record to represent the picture itself (stage 1); then the picture (via its media record) can be linked to all the Individuals who are in it, or to other records (stage 2).

Pictures can be added into Family Historian either in the Media tab of the Property Box or in the Media Window. Choose whichever method is most convenient. If you are working on a particular Individual's record, and wish to add a picture of them, you will probably find it easiest to add a picture of them in the Property Box. If your primary interest is the picture itself, and you wish to link it to several Individuals who appear in it, you will probably find it easiest to use the Media Window.

Adding a Picture in the Property Box

Open the Property Box for the Individual (or Family or Source) that you want to add a record to. On the Media tab, click on the Add Media button. A dropdown menu appears. Choose between Insert From File (if it's a new picture) or Link to Existing Media Record (if the picture is already in the current project). Either way, when the picture has been selected and added, the Edit Media Item dialog box will appear. You can use this to record details both about the picture itself, and about the Individual's link with the picture. You can also link the Individual specifically to their face in the picture - see How to Link Individuals to their Face in a Picture.

Adding a Picture in the Media Window

To add a picture in, or into, the Media Window, the Media Window does not already have to be open. Click on the Add menu, then Pictures. The selected picture will be displayed in the Media Window. Here again, you can record details about the picture itself. You can also link it to the Individuals in it (or to Family or Source records) and you can record information about Individuals' (and other records) links with the picture. You can also link Individuals' specifically to their face in the picture - see How to Link Individuals to their Face in a Picture.

Add Multiple Pictures in One Go

Whichever technique you use to add pictures, you can add as many pictures as you like in one go, as long as all the selected pictures are all in the same folder. You just need to select all the pictures you wish to insert. There are various techniques for selecting multiple items in a list. For example, if you click on the first item you wish to select, and press the Shift key while clicking on the last, all the items in between will be selected.

Copying Pictures into the Project Folder

When you insert a picture from a file (or multiple pictures), you will be asked if you want to copy the picture file into the project folder. You are recommended to do this. If you wish, you can even use your own preferred folder structure for storing the pictures. But if you don't care how they are organised, you can leave it to Family Historian to decide where to put them.
